EDImis, Inc. Announces LEO Appointment Scheduling

LEO represents an original and new concept for using computers within your practice. More than appointment scheduling, LEO presents a real time picture of your practice on a single screen that updates automatically as patients check in, are treated, and finally check out.

Developed within the Microsoft Empowerment Program using Microsoft’s Visual Studio .NET LEO begins with a state of the art appointment scheduling system that can be configured to reflect your clinic and individual provider schedules.

LEO Appointment Scheduling uses color, icons, and the familiar appearance of a traditional appointment book to create intuitive software that presents even a very complex schedule in a familiar, intuitive, and meaningful way.

The following example represents a 2 doctor clinic with appointments every 15 minutes. Without any further training most people can look at this screen and have an excellent idea of who is coming in when, and why.

The Living Calendar across the top of the screen provides instant access to up to 6 months of dates. It is both intuitive and powerful. With 2 clicks the schedule year in advance is instantly available. One click on the Today: box returns to today’s schedule.

Office Defined Options bend the appointment scheduling software to suit precisely the needs of your office. Almost every aspect of what makes up a day can be changed and displayed: opening and closing times, appointment intervals from 5 to 60 minutes, user defined templates to set aside certain times in the day for specific types of appointments like “new patients” or “surgical follow ups”, icon and color controls that can be associated with both appointment times and reasons, appointment types that block off the right amount of time in the day depending on the reason for the appointment.

In this example, notice that the 9:30 time slot is reserved for New Patient Visits and uses the doctor with the pencil icon, but Venita Salter is scheduled for an Initial Screening at 8:15 and her appointment has taken up 2 slots in the day meaning that they have defined this appointment type as 30 minutes in length.

User Defined Displays allow each staff member to customize their display to maximize productivity. Each user controls key features like: color scheme, display of 1 to 8 columns of resources, size and placement of windows, and columns within windows.

The front desk of a busy clinic might have all 4 doctors on their display since they need to see the day as a whole. Joe Edimis’ nurse on the other hand might be concerned exclusively with his patients and therefore choose to display only his schedule with a much more detail displayed about each visit. Allowing each user to control their display makes the system easier to use and the staff more productive.


At the front desk, LEO also displays the Today’s Appointments window containing all of the patients on the schedule for today and their current status: Pending Check In, Checked In, Pending Check Out, and Checked Out.

No matter how far into the future the Appointment Window ventures, the Today’s Appointments window always remains focused solely on what is going on in the clinic today. In a single glance staff can see who has arrived, who has come and gone, who might be a no show, and who might have been sitting in the waiting room for 45 minutes.

Features and Benefits:

Return to Clinic – during the checkout process the Return to Clinic feature allows you to quickly repeat today’s appointment for predefined future time periods from 1 week to 3 years. A single day schedule overlays the main appointment scheduling window and allows you to see and schedule the desired appointment without having to change the main window.

Reschedule Appointment – The same single day described in Return to Clinic is used to reschedule existing appointments to future times. The existing appointment is removed, and all the information on the existing appointment is transferred to the new time automatically.

Microsoft’s Newest Technology – Developed within the Microsoft empowerment program the system uses the newest libraries and functions available. .Net 2.0 and the Message Queuing service ensure that even with multiple physicians displayed changes made on one computer are virtually instantaneously updated on the other computers on the network. Message Queuing is pro-active with regard to schedule changes; meaning that the server broadcasts all changes made at each station to all of the other stations on the network.

Next Available Appointment – A unique search tool locates future available appointment times of a specified type. Appointment Types are created by each office. For example, a New Patient appointment type is very common since new patient appointments often take more time than existing patient appointments. The Next Available Appointment feature displays all future dates with open New Patient appointments, displays the times and doctors for each date, and when an appointment is selected the utility brings up that appointment slot so that the patient can be scheduled quickly.

Insurance Card Scanning – Up to 6 insurance plans can be saved for each patient – and for each insurance plan up to 4 scanned images can be saved. This allows for the front and backs the insurance cards and front and backs of either a driver’s license or dependents card. The images are attached to the patient’s demographic information and can be viewed and printed at any time.

Reports – Data is managed by Microsoft SQL which allows reports to be created using Crystal Reports the world’s leading report generating software. This means that custom reports can be created easily and quickly – and that advanced features like images, special fonts, graphs, etc… can be utilized. Currently the library of reports includes: Appointment Listing with short descriptions, Appointment Listing with long descriptions, Super Bills, and Appointment Reminder Post Cards.

Label Printing – Designed to be used with the Dymo 400 series label printer the system can produce mailing labels, chart labels, super bill labels, and appointment reminders.

Patient Warnings – User defined financial classes automatically display pop-up warnings to employees whenever a patient is associated with a class. Classes can be used for “collection” and “slow pay” patients, “chronic no shows”, or more creative categories like “expired insurance cards” and “need new phone number”.
Staff are prompted with the description of the class and an on-screen message to describe the appropriate action to take.
